When working on a large project such as this one that will involve many moving parts and quite a few people, it is important that there is consistency in how the documents are saved. Using each letters identifier as the beginning of the file name and then ending it with origin location of the letter helps the archivists in the next phase of the project easily find the file and pertinent information.
I was not a part of the beginning phase of this project which was scanning each letter and then labeling with a title and date. The title is the sender and then how they addressed the letter. For example, in the screenshot below you can see that the first letter is titled "Ida McMichael to Mr. Meredith (1 October 1962). I use the link in column B to download the pdf and when it downloads, that is the title of the file. After I finish transcribing the letter, I saved the file with the identifier first: "meredith_corr_b3f4" and then the origin location "EDINBURGH SCOTLAND".
All of the transcription is done in Word because that is the easiest way for the archivists in the next phase to upload the information into the system they are using.
